Role Overview:
Provide effective and efficient support for the fleet function including maintaining databases, running and compiling reports, booking in services and repairs, vehicle allocations and driving license check.
Key Responsibilities:
- Coordinate the day-to-day operation of the local fleet department,
- Responsible for all aspects of fleet e.g. dealing with drivers, suppliers, insurers and invoices received,
- Ensure vehicles are maintained and meet legal requirements,
- Maintain the fleet management database & telematic software, ensuring all records are kept up to date,
- Off hiring of vehicles for leavers including assessing damages for policy recharges and getting the van ready for reallocation (e.g. repairs/valet/transports),
- Administer insurance claims including liaising with managers and the insurance company as appropriate,
- Order fuel cards,
- Onboarding of new starters including,
- Arrange service and repairs of vehicles with approved suppliers, including replacement vehicles as appropriate,
- Administrate recharges for fines and tickets in conjunction with Finance,
- In conjunction with the Fleet Manager / Group Fleet team assist with co-ordinating the roll out of new fleet as and when required,
- Ensure compliance with all company standards, policies, and procedures,
- Manage vehicle incidents and complaints, investigating and dealing with them promptly,
- Record and review company vehicle drivers’ licenses, including MOT & Insurance certificates for grey fleet drivers,
- Creating purchase orders for repairs and approving Fleet related invoices for Finance.
Qualifications and Key skills required:
- Experience of working in a similar Fleet role,
- Have great customer service skills and be confident on the phone,
- Be accurate, diligent, self-motivated and a with keen attention to detail,
- Enjoy a varied role and able to assist in a range of duties within the department/s
- Have a full driving license
- Be a proficient user of IT and Microsoft systems including Word and Excel
